What Food-Contact Documents Should a Bottle Filler Have?

Ask for an application-specific product-contact schedule and evidence linked to the components actually supplied. A general “food-grade” statement or a machinery declaration alone does not establish the suitability of every hose, seal, valve and nozzle for your food, temperature and cleaning process.

Start with the contact boundary and intended use

Trace the food from the source connection to the nozzle outlet, including the return circuit where one exists. List the components that contact it and those whose substances could reasonably transfer to it. Separately identify bottle and closure documentation supplied by the packaging manufacturer. This avoids a file that proves the tank material but says nothing about a replacement hose or hidden valve seal.

Requirements and supporting evidence depend on the material, intended use and destination market. Treat this as a document request list, not a claim that every item requires the same statutory certificate. A declaration should identify what it covers and its conditions of use; a laboratory report should identify the sample and basis of the assessment. Ask the supplier to explain the relationship between evidence and the delivered assembly.

Do not confuse material suitability with cleanability

A documented material can still be used in a product path that is difficult to drain, inspect or clean for your application. Review access, retained product, joints, removable parts and the cleaning boundary separately. Conversely, a visually clean test does not demonstrate chemical suitability of the contact materials.

For a bottle filler, ask how valves, piston seals, hose connections and nozzle shut-off parts are exposed to the intended cleaning method. Where clean-in-place is proposed, define the circuit and the evidence needed to show that cleaning reaches the relevant surfaces. Write the use conditions into the purchasing brief

  • Foods and ingredients, including formulation characteristics relevant to compatibility.
  • Maximum intended product-contact temperature and duration, including waiting and recirculation.
  • Normal batch sequence and any allergen or flavour changeover constraints.
  • Cleaning products, concentrations and conditions as defined by the site procedure.
  • Expected repeated-use pattern and parts intended for routine replacement.
  • Required documentation language, part identifiers, revision control and review responsibility.

Do not rely on a food-contact logo to describe these conditions. A supplier can only assess a meaningful request when the exposure is defined. Use the machine specification checklist to tie the documentation request to the same product and operating window used for the quotation.

Close the evidence gaps before production release

Give each requested item an owner, status and reference. Record whether the evidence matches the delivered component, whether its use conditions cover the project and which issue remains unresolved. At handover, compare the final parts list with the approved schedule rather than filing the original quotation as though no components changed.

When seals or hoses are replaced, retain the approved reference and record any substitution. A change in material, recipe or cleaning regime may require another review. Separately, the food business needs its own food-safety management procedures and records; equipment documentation does not replace those responsibilities.

Is a machinery Declaration of Conformity a food-contact declaration?

They address different evidence questions. Do not assume that a machinery declaration covers the complete product-contact material schedule and intended food exposure. Request the relevant material documentation separately, then link it to the supplied machine components and conditions of use.

Is a stainless-steel grade sufficient for a bottle filler food-contact review?

No. It describes only part of the material scope. Hoses, tubing, seals, gaskets, valve seats and other contact parts also need identification and appropriate evidence. The review should cover the assembled product path, while cleanability and the site’s hygiene procedure are assessed separately.

Does every contact material use the same declaration template?

No. The applicable evidence depends on the material and governing requirements. Ask for the relevant declarations, specifications and supporting assessment for each component group instead of expecting one generic certificate to settle every question. A competent reviewer should confirm that the evidence covers the intended use.

What should a buyer check on a food-contact test report?

Check that the tested material or article is identifiable and relates to the supplied component. Review the stated exposure conditions, limitations and purpose of the testing with a competent specialist. A report for a different material or less demanding use should not be assumed to approve the actual application.

Why keep food-contact records for replacement seals and hoses?

A replacement can change the materials exposed to the product even when the machine looks unchanged. Keeping the approved part, compound and supplier references lets maintenance and quality teams check substitutions. Record the change and review it against the product and cleaning conditions.

Should documentation requirements be agreed before the filler trial?

Yes. The trial and the evidence file answer different questions, and both can affect scope. State the requested material schedule, declarations, cleaning information and review criteria early. This avoids approving an operating demonstration before discovering that essential component evidence has not been specified.

The linked material supports the general technical or regulatory context. Manufacturer-specific capacities, certifications and performance are not specifications for a Lancing machine unless separately confirmed in the quotation.
